1. Scope and who we are
This Privacy Policy applies to docketcrm.net, DocketCRM customer account subdomains, the DocketCRM order management service, demo-request and contact forms, and related support interactions.
DocketCRM is operated by Zermo Brands LLC, a New Jersey limited liability company. In this Policy, "DocketCRM," "Zermo Brands," "we," "us," and "our" refer to Zermo Brands LLC.

2. Data we collect
Website and demo-request data
When you request a walkthrough or contact us, we collect the information you choose to submit, such as your name, company, work email, phone number, and message. We also collect standard request metadata such as IP address, user-agent string, timestamp, and basic error information so we can operate and protect the site.
Account and service data
When an organization uses DocketCRM, we process business account information, authorized-user contact details, authentication records, billing or order-form details, support messages, and service usage metadata.
Customer Data
"Customer Data" means data submitted to the service by a DocketCRM customer or its authorized users. Examples may include customer records, contact details, product catalogs, estimates, orders, delivery details, uploaded documents, notes, and related business records. Our customers decide what Customer Data they submit and are responsible for their own notices and lawful basis for doing so.
Integration data
If a customer connects optional integrations, we process the information needed to provide that integration. Examples include calendar event details for Google Calendar, accounting records for QuickBooks or Sage, and the data submitted to an AI provider for an extraction or summarization feature that the customer chooses to use.
We do not knowingly collect personal information from children under 16. DocketCRM is a business service and is not intended for personal, family, or household use.
3. How we use data
We use personal information to:
- respond to demo requests, support requests, and business inquiries;
- create, administer, secure, and support customer accounts;
- operate, troubleshoot, monitor, and improve DocketCRM;
- detect and prevent fraud, abuse, security incidents, and unauthorized access;
- send account, security, service, billing, and product communications;
- provide optional integrations and AI-assisted features when a customer configures or invokes them;
- comply with legal, tax, accounting, and contractual obligations.
Where privacy laws such as the GDPR apply, our legal bases may include performance of a contract, legitimate interests, consent, and legal obligations.
4. Customer Data and end-user data
For Customer Data, DocketCRM generally acts as a service provider or processor for the customer organization that controls the account. The customer organization decides what data to collect, why it is collected, and how long it should be kept.
If your information appears in a DocketCRM customer's account because you are that customer's customer, prospect, supplier, carrier, employee, or contact, please contact that organization first to exercise privacy rights over the data it controls. We will support our customer in responding to lawful requests.
6. Retention
We keep personal information only as long as reasonably needed for the purposes described in this Policy, unless a longer period is required by law, accounting rules, dispute resolution, security, or contractual obligations.
- Demo-request and support records are kept while needed to respond, follow up, and maintain business records.
- Account records are kept while the account is active and for a reasonable period afterward for audit, billing, security, and legal-record purposes.
- Service logs are typically kept no longer than 12 months unless needed for security investigations or legal obligations.
- Customer Data is handled according to the customer's agreement, including any post-termination export and deletion commitments.
7. Security
We use administrative, technical, and organizational safeguards designed to protect personal information. These include TLS for browser traffic, account separation, role-based access controls, session cookies with HttpOnly protections, encrypted secrets where appropriate, audit logging for sensitive actions, controlled administrative access, and routine backup practices.
No system is perfectly secure. If we learn of a security incident affecting personal information, we will notify affected customers and individuals as required by law and applicable agreements.
9. Your rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of personal information; object to or restrict certain processing; withdraw consent where processing is based on consent; and appeal or complain to a privacy authority.
California residents may have rights under the CCPA/CPRA, including the right to know, delete, correct, opt out of sale or sharing, limit certain uses of sensitive personal information where applicable, and be free from discrimination for exercising privacy rights. We do not sell or share personal information as those terms are used in California privacy law.
To exercise a right over information DocketCRM controls, email support@docketcrm.net. We may need to verify your identity and authority before responding. If your request relates to Customer Data controlled by a DocketCRM customer, we may direct the request to that customer.
10. International transfers
DocketCRM is operated from the United States and our infrastructure is currently hosted in the United States. If you access the site or service from outside the United States, your information may be processed in the United States. Where required, we use appropriate transfer safeguards such as standard contractual clauses or equivalent mechanisms.
11. Changes to this Policy
We may update this Privacy Policy from time to time. If we make a material change, we will provide reasonable notice, such as by posting the updated Policy on this page, updating the date above, emailing account contacts, or providing in-service notice where appropriate.
